Refund Policy

****The following is a brief overview of the standard cancellation policy for this apartment. For full terms and conditions, please refer to the apartment's 'Booking Terms and Conditions'. ***Policies are subject to real-time updates; please consult the apartment's official website and your signed contract for the most accurate information. 2026/27 Academic Year Accommodation Cancellation Policy for England, Scotland, and Northern Ireland I. Cooling-Off Period Rules *England If a deposit has been paid and the booking agreement accepted, a three (3)-day cooling-off period applies from the earlier of: the date the booking agreement was signed or the date the deposit was paid. If you cancel the booking agreement after the three-day cooling-off period, your deposit will be retained. Any deposit you pay upon signing the tenancy agreement will be deducted from your first rent payment. *Scotland, Northern Ireland, and Wales You may submit a written cancellation request within three (3) days after confirming your accommodation contract, and the apartment will fully refund all deposits and other payments made. If you book accommodation on or after 1 August 2026, the cooling-off period shortens to twenty-four (24) hours after contract confirmation; during this time, cancellation entitles you to a full refund of all deposits and other payments made. Please note: if you check in and collect your keys during the cooling-off period, the cooling-off period terminates automatically at the moment you receive your keys. II. Cancellation Rules After the Cooling-Off Period Expires If you wish to cancel your tenancy agreement but do not meet any of the cancellation criteria listed below, you remain liable for the full rent amount for the entire tenancy period—unless the apartment, at its sole discretion and subject to the conditions outlined below, agrees to waive your liability. If you apply to cancel your tenancy agreement after the tenancy start date and the apartment agrees to waive your liability, you must continue paying rent for four (4) weeks from the date the apartment issues you a written waiver notice—until you have found and the apartment has approved a suitable replacement tenant (see details below). (A) Replacement Tenant Requirements If you wish to cancel your tenancy agreement without meeting the cancellation criteria, you may find a suitable replacement tenant and apply to the apartment for approval. Please note: the apartment will not waive your tenancy obligations nor accept a replacement tenant unless you have settled all outstanding amounts owed to the apartment. 1. Eligibility Criteria for Replacement Tenants A replacement tenant must satisfy all of the following conditions to be considered eligible: - Be a currently enrolled student who meets the accommodation preferences for your room (e.g., female-only apartments); - Have no history of unpaid rent in any prior tenancy agreement with the apartment; - Not be a current resident of the apartment, nor have booked a room for the 2026/27 academic year with the apartment; - Sign a new tenancy agreement covering the full remaining term of your original agreement and pay the required deposit. 2. Agreements Upon Approval of a Replacement Tenant If an eligible replacement tenant is found and approved by the apartment, your obligations—and rent payment responsibilities—under the original tenancy agreement will be waived effective from the replacement tenant’s tenancy start date, provided the replacement tenant signs the new tenancy agreement and pays the required deposit on or before that date. The apartment will refund your damage deposit (if applicable), less any unpaid rent and cleaning/repair costs incurred upon your departure. A £50 tenancy assignment fee applies. *Applications for tenancy assignment are only accepted until 31 May 2027; no such applications will be processed from 1 June 2027 onward. III. Special Cancellation Criteria (Waiver Scenarios) You may apply to cancel your tenancy agreement if you meet one or more of the following criteria: 1. Visa Refusal: Your official study visa application has been formally rejected (excluding cases where the visa was initially granted and later revoked); 2. Academic Results: You have failed to achieve the required admission grades for the 2026/27 academic year, rendering you ineligible as a student; 3. Exceptional Circumstances: You meet the relevant criteria outlined in the apartment’s tenancy cancellation guidelines (which may include serious medical reasons or bereavement). In all such cases, you must provide sufficient supporting documentation for your cancellation request. Whether documentation is deemed sufficient is determined reasonably by the apartment and may include official written documents issued by UCAS, visa authorities, or embassies to substantiate your reason for cancellation. (A) Cancellation Application Submission Process If you meet a cancellation criterion and wish to apply, you must personally submit the application form via the apartment’s online cancellation portal and attach all relevant supporting documents. For shared accommodations, the primary tenant named on the contract must submit the application. Failure to provide sufficient documentation may delay the apartment’s review decision. The apartment will communicate its decision via the following means: - Notification of the final decision; - A request for additional documentation, if needed. If you submit a valid cancellation application before your tenancy start date and have not yet checked in, and you provide sufficient supporting documentation to the apartment within four (4) weeks of submission, your tenancy obligations will be waived effective from the tenancy start date. If you submit a valid cancellation application after your tenancy start date, your tenancy obligations will be waived four (4) weeks after the apartment receives sufficient supporting documentation; until then, you remain liable for rent from the tenancy start date onward. If you have paid a damage deposit, it will be refunded once your tenancy obligations are waived; however, if you have already checked in, the deposit will be reduced by: - Unpaid rent accrued between your check-in date and the approved cancellation date; - Cleaning and repair costs associated with your room/apartment upon departure. #Early conclusion of the academic year or early completion of examinations does not constitute a valid reason for waiving your tenancy obligations—you remain fully liable for the entire rent amount as stipulated in your tenancy agreement.
