Refund Policy
****The following is a brief summary of the standard cancellation policy for this apartment. For full terms and conditions, please refer to the apartment's 'Terms and Conditions of Booking'. ***Policies are subject to real-time changes; the apartment contract shall prevail. Cancellation Policy I. Cancellation by the Apartment (Prior to Key Collection) iQ Student Accommodation reserves the right to cancel your booking upon notice in the following circumstances: 1. You notify the apartment after the deadline that you have decided not to sign the tenancy agreement. 2. The apartment has taken all reasonable steps prior to the deadline to complete the tenancy agreement, but you fail to do so — for example, by failing to complete your application or provide guarantor information (if applicable) and supporting documents in a timely manner. 3. You provide false or misleading information to the apartment. 4. The apartment is prohibited from entering into a tenancy agreement with you under the Immigration Act 2014 (persons disqualified on immigration grounds). If your booking is cancelled for this reason, you will not be liable for any contractual obligations under the tenancy agreement from the date of cancellation, whether or not you have signed it. 5. Following screening searches, the apartment determines that you or your guarantor (if applicable) appears on sanctions lists and/or law enforcement databases. 6. You or your guarantor (if applicable) fails to comply with any additional information requests related to screening searches. 7. You fail to pay any outstanding amounts (including, but not limited to, your first instalment of rent, any arrears from previous tenancies, or damages charges); and/or 8. You breach this tenancy agreement or any prior tenancy agreement entered into with the apartment. The apartment may also terminate your tenancy agreement for any of the above reasons, as set out in Clause 2.4 of the tenancy agreement itself. For bookings for the 2026/27 academic year, the apartment may additionally require you to enter into an alternative form of tenancy agreement, if expressly required or appropriate under applicable law; see Clause 2.4(v) of the tenancy agreement. If you have signed a tenancy agreement but fail to collect your keys within two weeks of the tenancy start date, iQ Student Accommodation reserves the right to: (a) cancel your booking and terminate the tenancy agreement; and (b) re-let your room. In such cases, any rent you have paid (including any booking fee allocated towards your first rent payment) will be non-refundable to compensate the apartment for any losses arising from the vacancy of your room. This provision overrides any conflicting provisions in the tenancy agreement. If your booking is cancelled under these circumstances, any booking fee you have paid will be retained by iQ. II. Cancellation by You (Prior to Key Collection or Tenancy Start Date) • Tenancy Agreement Not Yet Signed: If you have not signed a tenancy agreement and wish to cancel your booking after the deadline, any booking fee you have paid (if applicable) will be retained by iQ. • Tenancy Agreement Already Signed: If you have signed a tenancy agreement and wish to cancel your booking, you remain bound by the contractual obligations set out in the tenancy agreement. You may only cancel your booking without liability if you can provide evidence satisfying one of the following conditions, provided you have not yet collected your keys or commenced your tenancy, and submit the required evidence within the specified timeframes: 1. You notify the apartment of your intention to cancel before 1 August; or, if your tenancy start date falls outside September, at least 28 days prior to your tenancy start date; 2. Your UK visa application is refused; 3. You do not achieve the qualifications required for admission to your preferred university; or 4. You defer your university enrolment. If you provide evidence reasonably satisfactory to the apartment under this clause, you will be entitled to cancel your booking, and from the date of cancellation, you will no longer be liable for any contractual obligations under the tenancy agreement. All cancellation notices must be submitted either via the 'Cancel My Booking' button in your iQ account within the iQ app or online resident portal, or by email to Hello@iqstudentaccommodation.com. If your cancellation reason does not fall within one of the four scenarios listed above (e.g., change of mind, booking alternative accommodation, voluntary withdrawal from university admission), you remain fully liable for the full contractual rent unless and until a suitable replacement tenant is found for your accommodation. You are responsible for identifying a qualified replacement tenant, although on-site staff will assist where possible. If you wish to cancel your booking and have identified a replacement tenant, and the apartment approves the arrangement, you will be released from the contractual obligations set out in the tenancy agreement. Once the new replacement tenant signs their tenancy agreement and pays the applicable rent, any overpaid rent will be refunded to you within 28 days. Please note that all tenancies commence on Saturdays; therefore, the relevant on-site team will confirm the official date on which your contractual obligations under the tenancy agreement are discharged. III. Evidence Required for Cancellation by You • Notification before 1 August or at least 28 days prior to tenancy start date: Notification to the apartment via the methods described above is sufficient; no additional evidence is required. Your booking fee (if paid) will be retained as a cancellation fee. • Failure to gain admission to your preferred university: If you do not achieve the required grades for admission to your declared preferred university, or choose to attend another university due to exceeding expected results, you may cancel your tenancy agreement and the apartment will refund any booking fee (if paid) and rent already paid, provided you supply the following information within the stipulated timeframe: ◦ Your written confirmation stating your intention to cancel due to failure to meet the entry requirements of your preferred university or acceptance at another university due to exceeding expected results; and ◦ Written proof from the university or UCAS confirming rejection of your application / your acceptance at a new university. This information must be provided to the apartment within 72 hours of the publication of examination results to qualify for a refund of the booking fee (if paid). In this case, any booking fee (if paid) and rent already paid will be refunded to you. If the information is not provided within 72 hours of results publication, any booking fee (if paid) will be retained as a cancellation fee. Please note: If you will be attending another university located in the same city where iQ Student Accommodation operates, the apartment team will be happy to assist you in finding suitable alternative accommodation. In such cases, your booking fee and any rent already paid may be transferred to your new booking. • Failure to obtain a UK visa: If you fail to obtain a UK visa prior to your tenancy start date, the apartment will cancel your tenancy agreement and refund any rent already paid, provided you supply the following information: ◦ Your written confirmation stating your intention to cancel; and ◦ Official documentation proving visa refusal. This documentation must be provided to iQ Student Accommodation within 72 hours of receiving official confirmation. In this case, any booking fee (if paid) and rent already paid will be refunded to you. • Deferral of university enrolment: If you elect to defer your university enrolment to the following academic year prior to your tenancy start date, the apartment will cancel your tenancy agreement and refund any rent already paid, provided you supply the following information at least one week prior to your tenancy start date: ◦ Your written confirmation stating your intention to cancel due to deferral of university enrolment to the following academic year; and ◦ Written confirmation from the university or UCAS verifying your deferral. In this case, any booking fee (if paid) will be retained as a cancellation fee. IV. Cancellation After Key Collection or Tenancy Commencement – Tenancy Assignment Once you have collected your keys or the tenancy start date has passed, the only way to terminate the tenancy agreement is to find a replacement tenant willing to assume all contractual obligations under the tenancy agreement. If you wish to end your tenancy early and have identified a replacement tenant, the apartment will consider terminating your tenancy and entering into a replacement tenancy agreement with the new occupant ('tenancy assignment'), subject to reasonableness. The apartment will only consider tenancy assignment requests made between one month after your tenancy start date and two months before the end of your tenancy ('permitted period'). If the apartment approves a tenancy assignment within the permitted period, you must settle any outstanding rent arrears before being released from the tenancy agreement. Such release will take effect from the start date of the replacement tenant’s new tenancy agreement. Once the new replacement tenant has signed their tenancy agreement, paid the applicable rent, and moved in, any overpaid rent will be refunded to you within 28 days of the start date of the replacement tenant’s new tenancy agreement. If you fail to return the room in accordance with the terms of the tenancy agreement, you may be held liable for any losses incurred by the apartment, which may be deducted from amounts otherwise refundable to you. Please note that all tenancies commence on Saturdays.
